Position Description
The Salesforce Administrator will report to the Director of CRM and Data Insights and play a critical role in supporting the implementation and management of XPRIZE Foundation’s Salesforce instance. This role will be a key contributor to the overall implementation project, helping ensure its ultimate success. Your role will focus on system configuration, user management, and data integrity, as well as supporting the migration from the current instance to the new Salesforce environment. While the Director will guide the overall implementation, you will ensure that day-to-day technical needs are met and that system improvements are continuously delivered to a high standard.
Key Responsibilities
- Salesforce Implementation & Migration
- Assist the Director of CRM and Data Insights in the multi-year Salesforce implementation and migration from the current instance.
- Support system configuration, testing, and data migration to ensure the successful transition to the new Salesforce instance.
- Collaborate with the Director to implement solutions that meet business needs while maintaining system integrity and data quality.
- Salesforce Administration & Support
- Manage daily operations of Salesforce, including user setup, permissions, roles, and troubleshooting.
- Create and modify custom objects, fields, page layouts, record types, and validations in response to evolving business needs.
- Maintain security settings, such as sharing rules and field-level security, ensuring data integrity and access control.
- Provide ongoing user support and training to promote successful platform adoption across the organization.
- Lead the development of end user documentation and training materials.
- System Enhancements & Development
- Assist the Director in workflow automation and UI/UX improvements to enhance system efficiency.
- Conduct testing and QA for system builds, customizations, and migrations.
- Manage iterative system improvements, working closely with internal stakeholders to gather feedback and implement solutions.
- Data Integrity & Management
- Oversee data hygiene efforts, including data imports, duplicate management, and regular data audits.
- Support system maintenance, including backups and history management, to ensure data availability and security.
- Act as the primary point of contact for staff members’ data needs, including troubleshooting, reporting, and dashboarding.
- Collaborate with the Director to implement best practices for DevOps change management.
- User Management & Communication
- Manage user accounts and permissions to ensure appropriate system access for all staff.
- Develop and maintain technical and user documentation for Salesforce-related processes.
- Provide ongoing communication and training to keep users informed about system changes and best practices.
- Collaboration & Support
- Work closely with the Director of CRM and Data Insights to deliver system enhancements and customizations.
- Collaborate with internal teams and external vendors to ensure Salesforce projects are delivered on time and align with organizational goals.
- Support the Director in liaising with Executive Assistants (EAs) and other key stakeholders to meet their data and reporting needs.
Required Qualifications
- 2+ years of experience as a Salesforce Administrator, preferably within a nonprofit organization.
- Salesforce Administrator certification (ADM201 or equivalent).
- Experience with Salesforce implementation and data migration projects, especially Salesforce-to-Salesforce migrations.
- Proficiency in creating and modifying custom objects, fields, record types, and page layouts.
- Strong understanding of Salesforce architecture, security settings, and data management best practices.
- Experience with Salesforce Nonprofit Success Pack (NPSP).
- Hands-on experience with workflow automation tools, with a particular focus on Flows.
- Strong reporting and dashboarding experience on the Salesforce platform
- Strong communication and documentation skills, with experience training users.
- Collaborative team player with experience working alongside senior leadership.
Preferred Qualifications
- Additional Salesforce certifications (e.g., Advanced Administrator, Platform App Builder, Nonprofit Cloud Consultant).
- Familiarity with Salesforce integration tools and APIs.
- Prior experience with data hygiene practices, including data import/export and duplicate management.
- Experience with Salesforce DevOps Center and source control for Salesforce development
- Experience with Agile methodologies and project management processes.
- Experience working with executive teams or supporting executive-level data needs.

The anticipated base salary for this position is $90,000 to $110,000 and may also qualify for an annual incentive. This role is eligible for our extensive benefits package and generous paid time off including vacation, sick, and holidays. The actual base salary offered will depend on a variety of factors including the qualifications of the individual applicant, years of relevant experience for the role, level of education attained, and certifications and/or other licenses held. XPRIZE is a remote-first environment.
