Position Description 

The Manager of Data Health, Salesforce Administration & Advancement Analytics serves as the primary steward of Advancement data integrity, Salesforce operational functionality, and fundraising reporting infrastructure at XPRIZE.

Reporting through the Integrated Strategy team, this role supports the work of Strategic Philanthropy and Community by ensuring Salesforce effectively captures, organizes, and surfaces the information necessary to support donor engagement, prospect management, and fundraising performance.

This position is responsible for maintaining the health, consistency, and usability of Advancement data within Salesforce while supporting the reporting and analytics infrastructure that informs leadership decision-making and fundraising strategy. The role also serves as a key resource for Advancement staff in the effective use of Salesforce and related reporting tools.

Operating within XPRIZE’s federated CRM governance model, the role works in close collaboration with the organization’s CRM Architecture Lead and the CRM Governance Group to ensure Advancement’s use of Salesforce aligns with enterprise data architecture standards while enabling efficient and effective fundraising operations.

As XPRIZE continues to expand its philanthropic reach and fundraising capacity, this position will play a critical role in strengthening the data systems that support donor engagement, operational efficiency, and strategic insight across Advancement.

 

Responsibilities

Salesforce Administration for Advancement

  • Serve as primary administrator for Salesforce supporting Advancement activities
  • Manage system configurations aligned with fundraising workflows
  • Maintain dashboards and reports for Advancement leadership
  • Implement system improvements to enhance usability and effectiveness
  • Coordinate structural/architecture changes with CRM Architecture Lead and governance processes
  • Ensure alignment with enterprise data architecture standards
  • Manage user permissions and access controls
  • Support onboarding of new Salesforce users
  • Monitor system performance related to fundraising workflows

Data Health and Governance

  • Act as primary steward of Advancement data quality within Salesforce
  • Monitor completeness and consistency of donor and prospect records
  • Identify and resolve duplicate records
  • Implement best practices for data entry and record management
  • Conduct periodic data health audits to identify systemic issues
  • Partner with leadership to strengthen data policies and practices
  • Ensure alignment with organizational data governance standards

Reporting, Dashboards & Fundraising Analytics

  • Develop and maintain Salesforce reports and dashboards
  • Provide visibility into pipeline health and donor engagement activity
  • Support leadership in tracking progress toward fundraising goals
  • Build reporting frameworks for decision-making
  • Track activity levels, pipeline movement, and engagement trends
  • Support data extraction for leadership and external reporting

Data Analytics & Fundraising Insights

  • Analyze fundraising performance and donor engagement patterns
  • Surface insights to improve portfolio management and pipeline progression
  • Identify opportunities to strengthen donor engagement strategies
  • Translate data into actionable recommendations for leadership
  • Focus on operational insights (not financial accounting/reporting)

Advancement Process Optimization

  • Partner with Strategic Philanthropy and Community teams on workflow alignment
  • Identify opportunities to improve system processes
  • Recommend and implement system enhancements
  • Strengthen integration between fundraising strategy and CRM systems

User Support and Enablement

  • Serve as primary Salesforce resource for Advancement staff
  • Provide training and guidance on system usage and best practices
  • Support onboarding and ongoing user enablement
  • Assist staff with reporting, dashboards, and data extraction
  • Promote consistent system usage and data integrity

Cross-Functional Collaboration

  • Collaborate with CRM Architecture Lead and Governance Group
  • Partner with Advancement leadership and Finance teams
  • Ensure data/reporting structures meet organizational standards
  • Escalate technical or architectural issues appropriately
  • Support alignment between Advancement operations and enterprise systems
 

Qualifications

Required Certifications

  • Salesforce Certified Administrator (required)
  • Advanced Administrator, Platform App Builder, or Salesforce Business Analyst (preferred)

Technical Expertise & Experience

  • Deep knowledge of Salesforce NPSP (donations, householding, affiliations)
  • Advanced reporting and analytics experience, including:
    • Salesforce Reports & Dashboards
    • PowerBI
    • Apsona Multi-Step Reporting
    • Declarative Lookup Rollup Summaries (DLRS)
  • Expertise in data hygiene and system auditing tools:
    • DataLoader
    • Apsona
    • Field Trip

Fundraising Ecosystem & Integrations

  • Experience integrating Salesforce with: Wealth intelligence tools (e.g., Wealth-X), Digital fundraising platforms (e.g., Funraise), Event management systems (e.g., Cvent), Marketing and communications (e.g. Mailchimp)

Process & Systems Expertise

  • Experience automating workflows within Salesforce
  • Ability to manage end-to-end data flow from lead acquisition to gift recognition
  • Strong CRM system management experience in complex organizations

Preferred Experience & Skills

  • Experience in nonprofit fundraising or advancement environments
  • Strong analytical thinking and attention to detail
  • Ability to manage data quality and reporting systems at scale
  • Demonstrated cross-functional collaboration skills
  • Ability to translate data into strategic insights 


 

The anticipated base salary for this position is $100,000 to $115,000 and may also qualify for an annual incentive. This role is eligible for our extensive benefits package and generous paid time off including vacation, sick, and holidays. The actual base salary offered will depend on a variety of factors including the qualifications of the individual applicant, years of relevant experience for the role, level of education attained, and certifications and/or other licenses held. XPRIZE is a remote-first environment.
